Privacy notice
Rosenfort Shopify app ·
RosenFort Software makes Rosenfort for merchants who manage inventory or offer a customer service chatbot. This notice explains what happens when you manage the app, use the chatbot or email us.
When you manage the app
Shopify gives us your store’s name, domain, store ID and time zone. The app uses session data, app permissions and access tokens to sign you in and secure the connection. Depending on the Shopify session, this data may also include an administrator’s user ID, name, email address, language and account role.
For inventory management, Rosenfort stores imported products and variants, collections, item codes and barcodes, along with the packaging, batches, quantities and best-before dates you enter. For customer service, the app stores the contact details you set, public product information, and the questions, answers and source links you manage. Approved answers and contact details may appear in your online store.
Shopify handles billing. Rosenfort uses the subscription information Shopify provides to determine which features you can use during your trial or paid subscription. You enter your payment card details with Shopify. If you believe there is a mistake in how the app determines your access, you can ask us to investigate.
When you use the customer service chatbot
The store decides which answers the chatbot gives. Your question and the options you choose are sent to Rosenfort via Shopify to find an answer in the knowledge base. The chatbot does not keep a conversation history in the app database. The conversation stays temporarily on the open web page. Select “New conversation” to clear the messages you see there.
If you are signed in, Shopify may include a customer ID in the technical request. Rosenfort does not use this ID to answer your question or maintain a customer profile. The chatbot does not look up individual orders. Please keep order details, medical information and payment details out of the chat. You can contact the store directly for personal assistance.
Why we process data and who is involved
The store decides why its store data and the questions submitted to the chatbot are used. RosenFort Software processes that data to provide the service to the store. We use data to administer the app, check subscriptions and provide support in order to fulfil our agreement with the merchant. We also process technical data on the basis of our legitimate interest in preventing misuse and resolving technical issues. Where the law imposes an obligation, we process the data necessary to meet it.
Shopify provides the connection to your store. Render hosts the app and its database. The hosting infrastructure may process technical data such as IP addresses, request times and error messages. The app counts requests per store per minute to avoid overloading the chatbot.
When these services are used, data may be processed outside the European Economic Area. You can find more information about transfers and their safeguards in Shopify’s information on international data transfers and Render’s data processing terms. You can ask us which safeguards apply to your situation.
If you email us, we and our email provider, Microsoft, process your email address, message and any attachments to handle your enquiry. Please include your store domain if it is needed to answer your question.
How long data is kept
Your store settings, knowledge base and inventory remain available while you use the app. An interruption in paid access does not delete your store data. When you uninstall the app, Shopify revokes access to your store. Once Shopify sends the subsequent deletion request for the store, Rosenfort deletes the associated sessions and store data from the active app database. You manage any backup that you have downloaded yourself.
Technical logs and recovery copies follow the hosting service’s retention periods. We keep support correspondence for as long as necessary to handle the enquiry and any follow-up questions, or longer if required by law.
Your privacy rights and how to contact us
For questions about your order or your data as a customer, contact the store concerned. The store can pass an access or deletion request on through Shopify. For data that RosenFort Software manages itself, you can ask us for access to your data, correction, deletion, restriction of processing or, where applicable, data portability. You can also object to processing based on a legitimate interest.
Send your question or request to RosenFort Software at rosenfort-software@hotmail.com. We may ask for additional information to verify that the request comes from the right person. You can lodge a complaint with the Dutch data protection authority, the Autoriteit Persoonsgegevens, or with your own supervisory authority.
Inventory alerts
For optional stock and best-before alerts, Rosenfort reads online sellable quantities from Shopify. Shopify Flow processes the configured internal email and recipient. For push, Rosenfort stores the push address and subscription keys for each paired device. The device’s push service receives an encrypted notification, which can include product or batch information. You can disconnect a device in Rosenfort. Uninstalling the app deletes these connections and alert settings.
